TextMyReceipts ("TextMyReceipts," "we," "us," or "our") provides software that helps bookkeepers collect, organize, and process client receipts through SMS and email intake, OCR extraction, AI-assisted categorization, and integration with accounting platforms.

This Privacy Policy explains how we collect, use, disclose, and protect information when bookkeepers, their clients, and end users interact with TextMyReceipts.

1. Scope

TextMyReceipts is business software used by bookkeepers and accounting professionals. In many cases, we process information on behalf of a bookkeeper who controls the client relationship. In those situations, the bookkeeper is the data controller for client data, and TextMyReceipts acts as a service provider or processor.

2. Information We Collect

Account and business information

  • Bookkeeper name and firm name
  • Business contact information
  • Account credentials and authentication information
  • Billing and subscription information
  • Connected accounting platform details (QuickBooks, Xero)

Receipt and financial data

  • Receipt images submitted via SMS or email
  • Extracted receipt data (vendor, amount, date, description)
  • AI-suggested categorizations and GL account mappings
  • Approval and push status

Communication data

  • Phone numbers used to send and receive messages
  • SMS message content and metadata
  • Email content related to receipt submissions
  • Automated nudge and reminder history

Technical and usage data

  • IP address, browser and device information
  • Log data, app activity, and event history
  • Error and diagnostic information

3. How We Use Information

  • Provide and operate the TextMyReceipts platform
  • Receive, process, and store receipt images and extracted data
  • Categorize receipts using OCR and AI
  • Push approved expenses to connected accounting platforms
  • Send automated reminders to clients for missing receipts
  • Maintain account security and prevent abuse
  • Monitor performance and improve the service
  • Comply with legal obligations

We do not use client receipt data for unrelated advertising or marketing.

4. SMS Data

TextMyReceipts facilitates inbound SMS from bookkeeper clients submitting receipt photos, and outbound SMS for automated receipt reminders. Message frequency varies based on client activity. Message and data rates may apply.

End users may reply STOP to opt out of text messages and HELP for assistance.

We do not sell or share mobile opt-in data or SMS consent with third parties for marketing purposes.

5. Sharing of Information

We may share information with bookkeepers and their authorized team members, cloud hosting providers, messaging providers, OCR and AI processing services, accounting platform APIs (QuickBooks, Xero), and authorities when required by law.

We do not sell personal information.

6. Data Retention

We retain information for as long as reasonably necessary to provide the service, comply with legal obligations, resolve disputes, and enforce agreements.

7. Security

We use reasonable administrative, technical, and organizational measures to protect information. No method of transmission or storage is completely secure.
